JOB DESCRIPTION – Program Manager, Opera House Arts

THE POSITION: The Program Manager for Opera House Arts (OHA) will report to the Artistic
Director and fulfills a range of responsibilities associated with both General Managers and Company Managers in larger theaters. The Program Manager for OHA will have primary responsibility for managing program budgets; artist contracts; artist logistics (travel, housing, etc.); and the efforts of program-related volunteers in a growing nonprofit, multidisciplinary theater environment focused
on original productions, with some presenting mixed in. Candidates for this position need to be both detail-oriented AND people-oriented. Excellent candidates will have some of the temperament of the accountant and the lawyer, as well as the larger vision of the theater person. This is a salaried, year round position.

THE COMPANY: Opera House Arts at the Stonington Opera House (OHA) was founded in
1999 to restore the 1912 Stonington Opera House, on the National Register of Historic Places, to its original role as a central institution to Stonington’s Main Street and working waterfront. OHA’s mission is to use the performing arts to foster and promote excellence in all the ways we perform
our lives: Incite Art, Create Community. We fulfill this mission by providing a full, year-round schedule of first run films, educational programs, and high quality, professional and community performance experiences; and by commissioning new work that sustains and extends the unique cultural legacy of rural Down East Maine.

THE COMMUNITY: Deer Isle, Maine, is a bridged island off the coast of the Blue Hill Peninsula in Hancock County. The island includes two towns, Deer Isle and Stonington, and a total year round population of approximately 2,800 residents. This population expands to approximately 5,000 during the summer season. Stonington, which was incorporated during the granite boom of the late 19th century, is at the southern tip of Deer Isle, providing mail boat access to the Isle au Haut location of Acadia National Park. Stonington and Deer Isle share a heavily rural, natural resources based culture, with the primary economic engine being lobster fishing. The Stonington Opera House harkens back to another, pre-bridge, merchant marine era, in which Stonington faced out toward the world across the sea; and hosted a population of nearly 5,000 granite workers, many of them immigrants from Italy, Scotland, and Ireland.

Areas of Responsibility

The following Areas of Responsibility cross all three Opera House program areas: theater and other live events; film; and education.

Administration and Finance:
The Program Manager manages all financial and logistical matters directly linked to Program. These include but are not limited to:

• The creation and timely execution of artist contracts.
• Communications with artist to determine housing and travel needs:

o with volunteer Housing Coordinators, arrange and implement housing
o with front office staff, book all travel

• Management of program budgets and artistic payroll.
• Organization and timely submission of all production receipts.
• The management of foundation funding requirements per show, including the submission of all financial report materials within 30 days of end of show.
• Obtain permissions and submit invoices for royalties.

Communications:
Acts as a communications hub between the Artistic Director; Artists; Administrative and Technical Staff:

• Manage the assembly, ordering, and delivery of all marketing materials to marketing staff by agreed upon deadlines; supervise any interns or fellows in these tasks.
• Coordinate foundation support requirements with Artistic Director.
• Plan and coordinate housing, hospitality, and volunteer needs for specific events with House Manager and volunteer Housing, Hospitality, and Volunteer Coordinators.

Program Support:
Ensures the effective implementation of and follow through on OHA Programs:

• Work with Artistic Director and marketing staff to enroll programs.
• Contract and arrange for additional rehearsal and workshop spaces as needed, both locally and in New York City. Prepare spaces as needed for workshops.
• Establish and test systems for booking film program, creating and maintaining monthly film grid.
• Coordinate program evaluation and reporting, including the preparation and distribution of evaluation forms; artist and participant follow up materials; thank you notes, etc.

Traits and Characteristics

Opera House Arts is seeking an energetic arts administrator who wants to gain on-the-ground, daily experience at a small, vibrant, and very busy theater organization. Interested individuals must be able to demonstrate a passion for theater and for the periodic long hours of hard work it demands; excellent written and verbal communications skills; excellent organizational skills; and an ease with technology and basic office software tools. Personable, energetic, and highly credible with the ability
to develop effective, long distance communications with both artists and community members via email, phone, and face to face meetings.

Experience and Qualifications

At least 2 – 3 years working, whether as volunteer, intern, or staff, in an active theater environment. Bachelor's degree required and graduate degree in management, arts administration or a related field highly desirable. A background in theater, educational, and/or community arts programs preferred. Demonstrated track record in working with others to implement projects and meet goals. Prior supervisory experience managing and mentoring people of diverse backgrounds strongly preferred.

JOB DESCRIPTION – House Manager, Opera House Arts

The House Manager ensures the successful operations involved in opening, closing, and running the front-of-house portion of the Opera House, to include: box office; concessions and product sales; restrooms; and audience.
The primary responsibilities of the House Manager include but are not limited to:

  • Opening and closing of the building according to a specified schedule;
  • The safety of all audience members, staff, and artists using the building;
  • Standardized volunteer staffing and operation of the house according to documented procedures;
  • Inventory management, control, and tracking for concessions and product sales;
  • Fulfillment of all customer service needs related to programs, including the assets of the Imagination Project;
  • General office maintenance and organization to ensure a clean, welcoming work and public environment

  • Highly organized, detail-oriented, motivated individual
  • Excellent people and communication skills
  • Computer literate: ability to work well and easily with spreadsheets and databases
  • Ability to prioritize and manage multiple projects
  • Ability to document and report on weekly activities

  • Theatre experience and interest a plus!

Responsibilities

The House Manager will manage, perform, and report on the following tasks:

  • Box office hours, operations, and receipts
  • Audience traffic flow before, during, and after performances or films
  • Ticket purchase and volunteer info within the OHA database
  • Check in/out and scheduling of Imagination Project assets
  • Concession sales, ordering, inventory, and receipts
  • OHA marketing products sales, inventory, and receipts
  • Basic maintenance of house and restroom areas
  • Opening and Closing procedures

The requirements of this position are based on a pre-scheduled 15 hours per week year round; and 30 hours a week (Wednesday-Sunday, 4 – 10 p.m.) in July and August.
